Where AI for estate agents saves time first
For a sales office, we would assess four jobs first. These are illustrative workflows to scope against your systems and permissions, not claims of completed estate-agency automation projects. Each has a clear point where a negotiator takes over.
Valuation follow-up
The trigger is a valuation marked as done in your diary or CRM. A workflow could prepare a thank-you draft from the negotiator’s visit notes: the property, the points the vendor raised and what they are waiting for, such as a mortgage offer or a family decision. The negotiator edits it and sends it.
The workflow could then suggest a call reminder for a date the negotiator confirms. Ambiguous wording such as “after Christmas” needs a person to resolve it. The draft never states a figure that is not in the notes. Pricing advice stays with the person who walked round the property.
Viewing admin
A booking workflow can offer viewing slots your team has opened, record the choice and prepare confirmations. Scope the approval rules, access arrangements and cancellation handling before enabling automatic bookings or reminders. Afterwards it asks for feedback, and AI turns the reply into a short note for the vendor that the negotiator reads before it goes. Nobody retypes “they liked the kitchen but felt the garden was small” three times.
Listing copy
Your team enters the facts once: rooms, measurements, heating, tenure, parking and the rest of your checklist. AI drafts the description in your house style, at the length each portal or channel needs. Where a fact is missing, the draft leaves a highlighted note, such as “tenure not recorded”, rather than a guess. It does not add features nobody recorded. A named person approves every listing; the compliance section explains why.
Lead response
Enquiries arrive by portal email, website form, social media message and voicemail. A triage workflow could sort each one: valuation request, viewing request, buyer or tenant registration, or a question about a live sale or let. It could draft a reply and, where an approved connection exists, prepare the contact record in your CRM. Valuation enquiries can be flagged to a named person. An out-of-hours acknowledgement should only promise a response time your branch has agreed and can meet.
Prospecting for new vendors is a separate job, and the consent rules below apply in full.
AI for letting agents: landlord updates and tenancy admin
A let involves more people than a sale. Landlord, tenant and contractor all need updates, often about the same job.
Landlord updates
A useful monthly update answers three questions. Has the rent come in? What is happening with repairs? Is there anything the landlord needs to decide? The workflow pulls those facts from your records and drafts each update. The property manager reads them, adds anything personal and sends them as a batch. Urgent issues need a separate route to the property manager and should not wait for a routine report.
Maintenance requests and tenancy dates
A tenant reports a fault by email or web form. AI can draft a summary, suggest a category and identify missing information. A property manager assesses urgency and decides what gets booked. Keep a clear emergency contact route: AI classification must not be the only way an urgent fault is noticed. The workflow can also watch dates you already track, such as tenancy ends and inspections, and draft reminder letters in good time.
Tenant applications stay with a person
AI can summarise an application pack and list what is missing. It should not accept or reject anyone. The compliance section below explains why.
AI tools for estate agents in the UK: what we use
We do not sell property software. We assess tools such as ChatGPT, Claude, Microsoft 365 Copilot and Power Automate against the systems you already use. Connections and permissions are confirmed during scoping. If your office runs on Microsoft 365, we look at Copilot and Power Automate first, after checking which licences you hold. Our Microsoft Copilot training covers the people side.
What we can automate depends on what your CRM lets other tools do, so we check that before we quote. Software and licences are paid for separately. We are independent: mentioning a product here does not mean its maker endorses us or partners with us.
The compliance rules we build around
We are not lawyers, and this is not legal advice. These are the UK rules we design around, with sources. In the Republic of Ireland, Irish and EU rules apply instead. Either way, your compliance lead should agree the rules before anything goes live.
Listing copy and material information
Propertymark reports that the National Trading Standards material information guidance for agents has been withdrawn. The Digital Markets, Competition and Consumers Act has applied to commercial practices since 6 April 2025. Propertymark’s advice: “the burden is now on agents to assess what the average consumer needs to know to make a decision.” The Act says a practice is unfair if it omits material information from an invitation to purchase. That information includes the main characteristics of the product and its total price. So our listing drafts flag missing facts instead of filling them, and a person signs off every listing. (Propertymark; DMCC Act s.225 and s.230)
Follow-up emails and texts
Marketing emails and texts to individuals normally need consent unless every condition of a relevant exception is met. The commercial soft opt-in can cover contact details collected during a sale or negotiations for similar services, with an opt-out when details are collected and in each message. A valuation enquiry does not automatically qualify.
Agree the basis for each follow-up and check suppression records before sending. A requested service update and an unsolicited promotional message may need different treatment; adding an opt-out alone does not make a message lawful. The ICO’s electronic-mail marketing guidance explains the conditions and is under review following legislative changes.
Decisions about people
Keep tenant acceptance and rejection with a person who can meaningfully consider the evidence and challenge a suggested outcome. An AI summary is not a tenant-screening decision. Your data-protection lead should review any proposed profiling or automated decision-making against the current ICO guidance before deployment.
Your data in AI tools
Before we connect anything, the written scope lists what each tool can reach, such as the diary, the CRM or the shared inbox. Your data protection lead should agree that list. Our AI policy template covers office rules on approved tools and data.
Our work with a Derry estate agent
James Gorman Property is an independent sales and lettings agent covering Derry, Limavady, Eglinton and Dungiven. Our project with them was search work, not automation. On their existing site we corrected page titles, descriptions, headings and internal links, then wrote a location page for each of those four areas and four blog posts on seller advice, area guides and the local market.
“Been working with Phil & the team for a few months and have found the service professional and supportive.”

This example shows our property-sector search work; it is not evidence of an estate-agency automation result.

How a project with us runs
- Talk to us for 15 minutes, free. Bring the job that eats most of your branch’s week.
- Add an audit if you want one. It costs a fixed £750. We look at how work moves through the branch, rank the opportunities, note the risks and give you a written plan. You can take the plan to any supplier, or use it in-house.
- Build and test. We agree a written scope with estimated delivery days, then test the workflow with the negotiators and property managers who will use it.
- Run it yourselves, or let us. We document the workflow and train your team to use, check and pause it. Or we keep it running: our managed AI service watches, fixes and improves the workflow each month. It starts at £250 a month, after a one-off setup fee from £1,750.
Prices are in sterling, and your written quote confirms VAT and payment, including in the Republic of Ireland. Detail is on our prices page. For a whole-office view first, see our AI readiness assessment. For builds outside sales and lettings, see AI implementation services.

FAQ
Will AI replace our negotiators or property managers?
The proposed workflows support drafting, sorting and reminders. Valuing a property, negotiating an offer and deciding on a tenant stay with your team. Assess a pilot on accuracy, time saved and service quality rather than assuming it removes a role.
Can AI write our property descriptions?
It can write a good first draft from facts your team has checked, in your house style. It should not invent features or guess at missing details. Propertymark advises agents that the burden is now on them to assess what the average consumer needs to know to make a decision. That is why a named person should approve every listing.
Can we send automated follow-up emails to vendors after a valuation?
You can prepare a draft. Before sending marketing, establish consent or confirm that every condition of an applicable exception is met. The commercial soft opt-in can include negotiations for similar services, but only with the required collection-time and message-level opt-outs. A valuation enquiry does not automatically qualify. Your branch should approve the follow-up rules and honour suppression records.
Does this work for letting agents as well as sales?
Landlord updates, maintenance summaries and tenancy-date reminders are useful candidates to assess. The final scope depends on your systems and information. Tenant decisions remain with a person, and urgent repairs need a clear route that does not rely solely on AI triage.
How much does AI cost for an estate agency?
The first call costs nothing and lasts 15 minutes. If you want a written plan first, the AI audit is a fixed £750. We quote each build once the written scope is agreed. If you want us to run the workflows, managed AI is from £250 a month, with a one-off setup fee from £1,750. Your software and licences are paid for separately.
Do you only work with agents in Derry?
No. We are a Derry business, but most of our work happens remotely, so your branch can be anywhere in Northern Ireland, Great Britain or the Republic of Ireland. If you want us on site, we agree that before work starts.
